Process Guidelines

Registration

Verify your CAL WATER account

To begin the process, you must first validate your agency account. To do this, you will need your CAL WATER account number and the zip code of the service address.

Register for your program account

In the profile you will provide a current email address, contact information and phone.You can then view the progress of your project through the dashboard as well as view resources on completing it. To complete the registration process you will need access to the email address that you provided.

Confirm your email address

After creating your online account you will be emailed a link that will be used to verify your account. Once received, click the provided link and set your new password to begin.

Take the online assessment

In order to prepare you for the steps ahead, you will next complete the online assessment, which takes about 30 minutes. But don't worry... we have an online study guide to help you better understand the process.


Complete your application

Submit your project details

In this step you will answer a few questions regarding your project and how it will be completed.

Create project zones

Next you will create project zones (areas you will be converting). For each zone you will provide the location, approximate square feet of turf you are removing and at least one image representing the current state of the project area before you convert it). These pictures will be used as a project reference. CAL WATER may choose to conduct an on-site pre inspection.

Upload your plan and plant lists.

Now it’s time to upload your plans and plant and/or permeable material list. (NoteHOA approval must be granted prior to submission of application to CAL WATER.)

Submit your application

You’ve done it! Now that you have completed all of the steps you can submit your application. Only one application is allowed per premise.


Start your project!

Convert your lawn and receive your incentive payment!

Soon after you have completed the training, submitted the application, photos and plan, CAL WATER will notify you by email if you are approved to begin. You will have 120calendar days after we send this notice of approval to complete the conversion and installation and for us to receive notice from you that the installation is complete. With the completion notification you will also need to submit photos of the completed project. At this time we will contact you if CAL WATER chooses to conduct a post inspection.

Once we have all needed documentation, you have met the requirements of the program and the landscape was constructed according to the design we approved, CAL WATER will send out an email approving the project.

Included in this email will be a W 9 form for you to fill out and mail back to CAL WATER. Once the W-9 is received by CAL WATER it will be submitted for processing and the incentive payment will be mailed in check form made payable to the property owner. Payments will typically be made within approximately 90 calendar days of CAL WATER receiving the signed W-9.

On all projects exceeding a $600 rebate, CAL WATER requires a completed W-9.

Maintain your new landscape

The converted landscape must be maintained for five years minimum as a grass or lawn free zone.
